What happens to an affiliate commission when the order is refunded
Overview
When an order that generated an affiliate commission is later refunded, what happens next depends entirely on one thing: whether you had already paid that commission out.
The short version is that GRIN stops a refunded conversion from being paid, but it does not reach back for money that has already gone out. There is no clawback.
If the refund happens before you pay
On Shopify and WooCommerce stores, a full refund marks the conversion as Voided automatically. A voided conversion is excluded from payout batches, so it is left out of your next payment run and does not count toward the total. The creator is never paid for it, and you do not need to do anything.
You can see voided conversions and their totals in your Activation's conversion view, described in managing your Activation's conversions.
If the refund happens after you pay
This is the case worth planning for, and it comes up whenever your payout schedule is shorter than your store's return window. If you pay commissions on the 15th for the previous month, an order placed on 30 August is paid on 15 September, but the customer may still return it on 25 September.
In that situation:
- The conversion is still marked Voided when the refund lands.
- The payment that already went out stays as it is. GRIN has no mechanism that reverses a completed payout, offsets it, or nets it against a future payment.
- Nothing is deducted from the creator's following month's payout.
So the voided mark you see afterwards is a reporting state, not a recovery. It records that the conversion should not have earned, and it keeps that conversion out of any future batch, but no money moves.
If you want to recover that amount, that sits outside what GRIN automates and is something to settle with the creator directly.
How to reduce the exposure
- Set your payout schedule so that commissions are paid after your return window closes rather than before it. This is the only change that removes the problem rather than managing it.
- Review conversions before running a batch, so anything already refunded is caught while it can still be excluded.
- You can also void a conversion yourself before paying it, which has the same effect as an automatic void. See voiding conversions.
