Troubleshooting: Emails Show as Sent but Aren't Delivering

Updated by Dan

Sometimes GRIN shows your email as "successfully sent," but the message doesn't actually reach your contacts. This usually means the email is being held, delayed, or blocked before it leaves your connected mailbox, rather than failing outright. Work through the checks below in order — they're listed from most to least common.

Quick answer: The most common causes are Emailing Hours holding the send until an allowed window, your Daily Sending Limit being exceeded, or your email integration needing to be reconnected.

1. Check your Emailing Hours

If Emailing Hours is enabled, scheduled emails will only go out during that window — even if you selected Send Now. This is the most common cause when only a few emails are affected.

  1. Go to Account > Settings > Integrations > Email Integration > Settings > Email Settings.

  2. Confirm Emailing Hours is turned off, or that the current time falls within your allowed window.

2. Check your Daily Sending Limit

Each email provider caps how many emails you can send per day (for example, Outlook is typically around 1,500 emails per 24 hours). If you exceed your limit, GRIN can still show "sent" while your provider delays or blocks the extra messages until the next day.

  1. Go to Account > Settings > Integrations > Email Integration > Settings > Email Settings.

  2. Set your Daily Sending Limit to a number at or below your provider's cap, then click Save.

3. Check the Email Dashboard

The Email Dashboard shows the real status of each message so you can see whether it actually went out.

  1. Go to Messages > Email Dashboard.

  2. Review the Scheduled Emails, Recently Sent, and Failed to Send tables.

  3. If your emails appear under Scheduled Emails, use the Send Now row action to push them out immediately.

  4. If they appear under Failed to Send, continue to the reconnection step below.

4. Confirm you completed the final send step

When composing, make sure you click Send Email on the preview screen — this is the final step that actually sends the message.

5. Reconnect your email integration

If the steps above don't resolve it, your mailbox connection may have dropped, which can cause emails to show as sent without delivering.

  1. Go to Account > Settings > Integrations > Email Integration > Settings.

  2. Click Reconnect, then reconnect via Connect Email or Connect via IMAP.

  3. If you use Microsoft Exchange, confirm the Server / Hostname is correct — for Exchange Online it should be outlook.office365.com.

  4. After reconnecting, send a test email to a single contact to confirm it delivers.

Still not sending? If emails still show as sent but aren't delivering after these steps, reach out to GRIN Support with the affected recipient(s) and whether it's a single email or a sequence, and we'll investigate further.
