Setting Up Payouts as a Non-U.S. Resident

To get paid by the brands you work with, you need to set up your payout information on your Live Site. GRIN sends creator payments as a bank transfer to your bank account, processed through Trolley, so the details you submit are stored and verified in your Trolley creator portal.

There are two things to complete, and the order matters. Add your payout method first, then submit your tax form: the option to submit a tax form only becomes available after a payout method has been added. As a creator based outside the United States, your form is the W-8BEN. If you are based in the U.S., follow Setting Up Payouts as a U.S. Resident instead.


What You Will Need

Before you start, make sure your Live Site account is verified, because payouts cannot be enabled on an unverified account. If you still need to do this, follow Verifying Your Account.

You will also need a bank account held in your own name, the account or IBAN details for it, and your taxpayer information. The account holder name must match the name on your tax form, and the Tax ID you provide must belong to that same account holder. When those do not match, payments can be delayed or returned.


Keeping Your W-8BEN Valid

Your W-8BEN is valid when the details you enter, such as your legal name, address and taxpayer identification number, match what is on file with the IRS or your local tax authority. The address on your payout method also has to match the country of tax residence you declare on the W-8BEN, because a mismatch between the two invalidates the form.

If you do not provide a Foreign Tax Identification Number (FTIN), or you provide a tax identification number the IRS cannot verify, a 24% withholding is applied to your payments. Withholding that has already been applied cannot be reversed, because the amount has already been remitted to the IRS. You claim it back when you file your tax return, using the Form 1042-S issued for that year. Correcting your form applies to future payments only, so it is worth getting the details right before your first payment.

Why Both Steps Matter

A brand can only pay you once your payout method is active and your tax form is on file. Until both are complete, a payment sent to you stays unclaimed, and a payment that is never claimed expires after 30 days and returns to the brand's creator fund. Completing your setup as soon as you join a program is the safest way to avoid that.


How to Set Up Payouts

1. Navigate to Payouts

  • Go to Live Site → Payouts

  • Click Get Started or Add Payout Method


2. Select Your Country

  • Choose the country where you file taxes

  • Click Set up Tax Information


3. Add Your General Information

  • Enter your full legal name, or your business name if you are paid as a company

  • Enter your address, using the address in the country where you are a tax resident

  • Click Next


4. Add Your Bank Transfer Details

  • Click Add Payout Method

  • Select Bank Transfer

  • For Bank Account Currency, select the currency your bank account is held in

  • Enter your IBAN or account number

  • Enter the name of the account holder, exactly as it appears on your bank statement

  • Click Add to save your payout method


5. Submit Your Tax Form (W-8BEN)

With your payout method saved, the tax form option is now available.

  1. Click Submit a Tax Form

  2. Select I am not a U.S. person

  3. Choose Individual or Corporation

  4. Click Continue


6. Complete Certification

  • Confirm you are not a U.S. person

  • Select whether your services are performed inside or outside the U.S.

  • Enter your full name to certify


7. Fill Out the W-8BEN Form

Complete all required fields, including your taxpayer identification. You can either provide a Foreign Tax Identification Number, which is what we recommend, or select I will not or am unable to provide a Tax Identification Number. Choosing the second option, or entering a number the IRS cannot verify, means 24% is withheld from your payments.


8. Review Withholding Information

Depending on what you entered, you may see an estimated withholding rate or a notice about the 24% withholding. Review it, then click Continue.


9. Review and Submit

  • Confirm all information is correct

  • Check all certification boxes

  • Enter your full name

  • Click Complete W-8BEN

  • Click Submit Form

You cannot edit the form after submission. To change anything, you submit a new form, and the correction applies to payments made from that point onward.


10. Choose Tax Statement Delivery

Select how you want to receive your tax forms, either by e-delivery to your email or by postal mail. You will receive a Form 1042-S each year summarizing your earnings and any amount withheld.


11. Finish Setup

Click Continue to complete setup.


You Are All Set

Once everything is submitted, your Bank Transfer payout method appears as Active and your W-8BEN shows as submitted. You can now receive payouts directly to your bank account from the brands you collaborate with in GRIN.


If a Payment Is Cancelled, Pending, or Unclaimed

A payment that was cancelled or is sitting as pending does not reprocess on its own once you finish your setup. The brand has to reissue it from their side, and GRIN Support cannot process or speed up a payment on the brand's behalf, so the fastest route is to contact the brand directly and ask them to send it again.

If a payment is never claimed, it expires after 30 days and the funds return to the brand's creator fund. The payment is not lost to you permanently, but it does have to be reissued by the brand after your payout method and tax form are in place.


Troubleshooting

Why can't I receive payments?

Check that your payout method is added and active, that your tax form has been submitted, and that your name is consistent across your bank account, your General Information and your tax form. Also check that the address on your payout method matches the country of tax residence on your W-8BEN, since a mismatch there invalidates the form.


Can I update my payout details?

Yes. You can edit your General Information, update or delete your Bank Transfer method, and submit a new tax form when something changes. Keep in mind that a new tax form corrects future payments and does not change withholding that was already applied.
